Missing files on a Mac does not always mean they’re actually gone. A file can disappear from Finder while the data is still sitting on the drive, at least until something overwrites it. I learned that the hard way after thinking I had lost my whole thesis because I assumed I’d copied it to a flash drive.
The main thing is to stop using the drive right away. This is the part people tend to underestimate. When macOS deletes something or even formats a drive, it often just marks that space as available again. The old data may still be there, but new activity can write over it.
That includes normal stuff you might not think about: downloads, browser cache, app updates, temp files, and background processes. If it’s an external drive, unplug it. If the missing files were on your Mac’s internal drive, use the Mac as little as you can until you decide what to do next.
Start with the easy checks before reaching for recovery software. Look in the regular Trash first. If the files were on an external drive, check the hidden trash folder on that drive too. Open the drive in Finder, press Shift + Command + Period to show hidden files, then look for .Trashes. If the files are there, you may be able to restore them with “Put Back.”
After that, check Time Machine if you had it enabled before the files went missing. Open Time Machine from the menu bar, go back to a point where the files still existed, select them, and hit “Restore.”
If there’s no backup and the Trash is empty, then recovery software is usually the next realistic option. Disk Drill is one of the common Mac tools for this, and it works with formats like APFS and HFS+. It’s also fairly easy to use compared with some more technical options.
These apps usually scan in a couple of different ways. Some scans look for leftover file-system records. Deeper scans look for file signatures, meaning the tool may still recognize a photo, document, video, or archive from the structure of the file, even if the original name is gone.
Be more cautious if the drive itself is acting weird. If it takes forever to mount, disconnects randomly, or behaves inconsistently, don’t keep hammering it with scans. Make a byte-for-byte image first if you can, then scan the image instead of the original drive. That gives you a safer copy to work from if the hardware is starting to fail.
If the drive is clicking, grinding, or making strange spinning sounds, stop. Power it off and disconnect it. That usually points to a physical issue, and running it longer can make recovery harder or impossible. If the data is important enough, a professional recovery service is the safer choice, even if it’s expensive.
Once you get through this, set up backups so you’re not stuck in the same situation again. Time Machine is good for a local backup, and a cloud backup adds another layer in case the drive is damaged, stolen, or lost.
For now, go in order: stop using the drive, check the normal Trash, check the hidden .Trashes folder, try Time Machine, then look at recovery software. If the data has not been overwritten or physically damaged, there’s still a real chance you can get it back.
Do not install anything onto the drive you are trying to recover.
That is the mistake I see people make with Mac recovery. They panic, download a recovery app, install it, scan, maybe export previews, and all of that activity is happening on the same disk that may contain the lost files. If this is your internal Mac drive, the safer move is to shut it down and work from another Mac or an external boot drive if you can. If it is an external disk, leave it disconnected until you are ready to clone or scan it.
I agree with the earlier point about imaging the drive first, but I’d put that higher on the list if the drive is slow, randomly unmounting, or throwing errors in Disk Utility. Don’t run First Aid over and over hoping it will “fix” things. Sometimes repairs change the file system in ways that make recovery messier. A clone/image gives you something to experiment on without repeatedly stressing the original disk.
If the files were deleted rather than the drive physically failing, then yes, Time Machine should be checked before recovery software. Apple’s steps for restoring files from Time Machine are worth following if you had it enabled. If there is no backup, tools like Disk Drill can be useful, but save recovered files to a separate drive, never back to the damaged or deleted-from disk. If the drive is making mechanical noises, skip the software route entirely and decide whether the data is worth paying a lab for. Software is for logical damage, not a drive that is physically dying in front of you.
If this is a newer Mac with a soldered SSD, the safest plan is different from an old Mac with a removable 2.5’ drive. You may not be able to just pull the drive and put it in an enclosure, and if FileVault is on, the password/recovery key matters as much as the hardware. Before spending hours on software, make sure you still have the Mac login password, Apple ID access, and any recovery key you might need.
I agree with not scanning the original drive if it is acting unstable, but I’d be careful about assuming “clone it” is always easy on modern Macs. For an Apple silicon Mac or a T2 Intel Mac, look at using macOS Recovery and Share Disk/Target Disk Mode from another Mac if the machine still powers on. Copy the most important files first, not the whole photo library or Applications folder. If it dies halfway through, you want the irreplaceable stuff already off.
Disk Drill or similar tools make more sense after the drive is mounted reliably or after you have an image to scan. They are not magic, and on encrypted APFS volumes they still need the volume unlocked. If the Mac is freezing, rebooting, or taking forever just to show the drive, I would stop trying “one more scan” and decide whether the files are worth a lab. The annoying truth is that a slow careful copy of the top-priority folders is sometimes safer than a full recovery scan that keeps the failing disk busy for hours.
The destination drive needs to be ready before you touch the failing one. People focus on the sick Mac drive, but then recover files onto whatever USB stick is nearby, or worse, back onto the same disk. Get a separate external drive with more free space than you think you need. If you are making an image, it should be at least as large as the failing drive. If you are only copying folders, still leave plenty of headroom.
I’d format that destination drive as APFS if you are using it only with Macs. exFAT is convenient for Windows compatibility, but it is not my first choice for a Mac recovery job because you can lose some Mac-specific metadata and you add another thing that can behave oddly during a stressful copy. Use a direct connection too. No cheap hub, no loose cable, no bus-powered pile of adapters if you can avoid it. A flaky enclosure or cable can look exactly like a dying drive and waste hours.
For the actual recovery, I would split the job into two tracks. If the drive mounts and stays mounted, copy the highest-value folders first: Desktop, Documents, Pictures, project folders, key exports, anything you cannot re-download. Do not start with Applications, system folders, caches, or a giant Photos library if the important stuff is a few documents inside another folder. A failing drive may only give you one decent session.
If the drive is unstable, do not keep trying Finder copies forever. Finder is not great when a disk is throwing read errors because it may stall on one bad file. At that point, imaging/cloning with a tool that can skip bad sectors is safer than repeatedly restarting the same copy. Then scan the image with recovery software. Disk Drill can be part of that workflow, but I would treat it as a scanner, not as the first thing to run directly against a drive that is clicking, dropping offline, or heating up.
The small annoyance nobody likes hearing: do not “tidy up” the Mac while recovering. Do not empty Trash, install updates, run cleaners, rebuild libraries, or let Photos/Music start reorganizing things. Keep the machine quiet, cool, and boring. If the data is worth real money or would be painful to lose, stop before experimenting and price a recovery lab. The cheapest safe recovery is the one where you avoid turning a weak drive into a dead one.
